What we build

The processes.
That should run themselves.

  1. Client / customer onboarding

Multi-step onboarding processes — KYC, document collection, account setup, system provisioning — orchestrated end-to-end with AI handling the unstructured-document and intake-judgement steps.

  2. Approval workflows

Expense approval, contract sign-off, hiring approvals, capex approval. Routes by amount, by department, by exception. Audit-logged. Eliminates the email-chain approval pattern.

  3. Document workflows

Invoice processing, statement reconciliation, contract analysis, agreement generation. AI extracts the relevant data; the workflow routes, approves and files.

  4. Cross-system data orchestration

Moving data between CRM, ERP, HRIS, finance, marketing systems — without humans copy-pasting. Real-time or scheduled, with error handling and reconciliation.

  5. Compliance + audit workflows

Automated compliance checks, regulatory submissions, internal audit evidence collection. With AI-drafted summaries for human reviewers.

  6. Performance dashboards

Real-time visibility into every automated process — volume, throughput, exception rate, cycle time, cost. The visibility that justifies expanding automation further.

The practical questions

The things ops leaders
ask first.

What is business process automation?
Business process automation (BPA) is the use of software and integration to perform recurring business processes with minimal human intervention — approvals, document workflows, data movement between systems, multi-step internal handoffs. Modern BPA combines traditional workflow engines (n8n, Make, Zapier, Power Automate) with AI for the steps that previously required human judgement (classification, drafting, exception handling).
What's the difference between business process automation and RPA?
RPA (Robotic Process Automation) typically refers to UI-level automation — software that clicks through legacy interfaces a human would otherwise click through. BPA is broader — API-level integration, AI-augmented decision steps, full workflow orchestration. We deploy both, and we use RPA only where a system lacks proper API access. API-first is always cheaper to maintain.
Which processes are worth automating first?
The highest-ROI candidates share four traits: (1) high volume — happens many times per week, (2) rule-based — has a defined workflow, (3) cross-system — currently requires data to move between two or more systems, (4) human-bottlenecked — the wait is for someone to do something repetitive. Classic candidates: client onboarding, document approval chains, invoice processing, deal-room workflows, compliance checks.
What tools does FrictionZero build BPA on?
n8n (self-hosted, our default), Make (when client prefers SaaS), Zapier (for simple flows), Microsoft Power Automate (for enterprise Microsoft shops), custom Node/Python where the integration demands it. AI augmentation via OpenAI, Anthropic Claude, internal LLM gateways. No vendor lock-in — your workflows are yours.
Will BPA break when I change underlying systems?
Well-designed BPA tolerates system changes via abstraction layers. Our deployments include documented integration contracts so when you change CRM (or HRIS, or finance system), the rewiring is a defined task, not a project. We also recommend a quarterly review cycle to catch drift early.
What's the typical deployment timeline?
Small workflows (single-process automation): 1–2 weeks. Mid-size deployments (5–10 connected processes): 4–8 weeks. Enterprise transformation programmes: 3–6 months phased. We always sequence high-ROI first so you see ROI inside the first month.
What does it cost?
Implementation fee for the build, then a share of measurable uplift versus an agreed baseline (hours saved, error rates reduced, cycle time improved). Implementation costs vary by complexity — a single workflow can run £4–12k, a multi-process deployment £20–80k. The Friction Audit gives you a precise estimate.
Is it GDPR / POPIA / SOC 2 compatible?
Yes — our default architecture is self-hosted n8n in your cloud, encrypted at rest and in transit, with documented data flow diagrams for audit. We support SOC 2 evidence collection workflows and have deployments in regulated financial services and healthcare.
