CRM automation.
The unsexy layer the rest depends on.

CRM automation that fixes the mess your CRM accumulates — AI qualification, intelligent routing, omnichannel nurture, deal-stage progression, cross-system orchestration. The connective tissue between your AI receptionist, your WhatsApp chatbot, your calendar, your finance system, and the human reps who actually close.

Built for: UK + SA sales teams with 10–500 staff and a CRM that should be doing more than it is.

What we build

The CRM.
That actually runs the process.

  1. Lead capture + intelligent routing

Every web form, WhatsApp message, voice call, email lands in the CRM as a structured record, scored on multi-dimensional fit, routed to the right human or AI agent based on owner rules and round-robin logic.

  2. AI-augmented qualification

AI classifies inbound intent, summarises call transcripts, detects sentiment, flags urgency. Sales reps open a contact and see a one-line intent summary plus recommended next action — not a wall of raw notes.

  3. Nurture sequence orchestration

Omnichannel nurture across WhatsApp, SMS, email and AI voice. Personalised at the segment level, A/B-tested, dropped automatically when the lead engages with sales. No more "send Sequence #4 to all warm leads".

  4. Deal-stage progression + hygiene

Automated stage transitions on signal (meeting booked → discovery, proposal sent → negotiation, contract signed → closed-won). Data-quality jobs that fix the mess: deduplication, ownership, blank fields, stuck deals.

  5. Cross-system orchestration

CRM ↔ calendar (Google, Outlook, Calendly), CRM ↔ helpdesk (Intercom, Zendesk), CRM ↔ finance (Xero, Sage, QuickBooks), CRM ↔ marketing (Mailchimp, ActiveCampaign). One source of truth, no silos.

  6. Pipeline + leakage dashboards

Real-time visibility into where the pipeline is leaking — by stage, by source, by owner, by segment. The dashboards that justify expanding automation further and let us share uplift honestly.

FAQ

The questions ops + sales leaders
ask first.

What is CRM automation?
CRM automation is the configured, AI-augmented orchestration of your customer relationship system — lead capture, qualification, routing, nurture sequences, deal-stage progression, hand-offs, reporting — so the system runs the process and your humans do the high-value work. It is a subset of business process automation focused specifically on the sales-and-service workflow.
What's the difference between CRM automation and CRM workflows?
Out-of-the-box CRM workflows (HubSpot Sequences, Salesforce Flow, Pipedrive Automations) are good for simple triggers. CRM automation as we build it goes further: AI for unstructured-data steps (call transcript classification, intent detection, sentiment), cross-system orchestration (CRM ↔ calendar ↔ helpdesk ↔ finance), data-quality jobs that fix the mess CRMs accumulate, and dashboards that surface where the pipeline is leaking.
Which CRMs does FrictionZero work with?
HubSpot, Salesforce, Pipedrive, Zoho, Microsoft Dynamics for general business. Clio, LEAP, Actionstep, Practice Evolve for law firms. Cliniko and Dentally for medical. Xero / Sage where finance and CRM cross over. Custom CRMs and home-built systems via API or webhook integration. No vendor lock-in — the automation logic lives in n8n or your existing iPaaS, not inside the CRM.
Does this replace the CRM itself?
No. CRM automation sits on top of your existing CRM and connects it to everything around it. We have strong opinions about which CRM to use (HubSpot for most UK SMBs, Pipedrive for low-friction sales teams, Salesforce for enterprise) and we will recommend a change if the current one is the wrong shape — but the automation layer works on any.
What does a typical CRM automation project look like?
Week 1: discovery and current-state map. Week 2: design the future-state workflow set — typically 8–15 connected automations across lead capture, routing, qualification, nurture and reporting. Weeks 3–4: build and integrate. Weeks 5–6: UAT, training, controlled rollout. Total: 4–6 weeks. After go-live we run quarterly review cycles to catch drift.
How does AI fit in?
AI handles the steps that previously needed human judgement: classifying inbound enquiries by intent, summarising call transcripts, drafting follow-up emails for human review, detecting churn signals from support patterns, scoring leads on multi-dimensional fit. We do not let AI fully autonomously close deals or modify pricing — those keep human checkpoints.
Is it GDPR + POPIA compliant?
Yes. Our deployments include explicit consent capture, configurable data retention, suppression-on-request handling, encrypted data in transit and at rest, and documented data flow diagrams for audit. We support SOC 2 evidence collection workflows for clients on that path.
What does it cost?
Small projects (3–5 workflows): typical 2–3 weeks. Mid-size (8–15 workflows): 4–6 weeks. Enterprise multi-CRM orchestration: 3–6 months. Pricing is implementation fee plus a share of measurable uplift (cycle time saved, conversion rate improvement, leakage closed). The Friction Audit returns a precise scope.
